Administrative Assistant (Database)

£30,033 - £31,440 per year

We are seeking an Administrative Assistant to join our established office team and be responsible for the handling and processing of all data for the Community Music Service. They will be a pivotal team member and will work closely with the senior leadership team to create service data.

Hours: 35 hours per week

The postholder will assist Community Music Service (CMS) in our use of data. The duties include: creating databases on the CMS online cloud; adapting them alongside internal need and external census data; managing updates; undertaking data analysis and to allow for assessment and analysis of information; creating management charts; suppling and analysing data to aid the acquisition of funds; and finally, the post also has reception duties such as: greeting visitors, answering telephone calls and undertaking general client engagement.

Specific Accountabilities of the Role

  • Maintain, create and update CMS databases, Whole Class Ensemble Teaching database and produce reports which analyse data.
  • Providing teaching resources e.g. organising registers, pupil transfers, facilities management, staff ID Badges, parent/pupil surveys.
  • Organising the events diary e.g.booking concerts with schools and issuing invoices.
  • Assisting HOS with Business Continuity Plan
  • Form systems for financial data assessment to support funding applications.
  • To attend meetings as required and to take and circulate meeting minutes.
  • Provide cover for the duties of reception as and when required.
